Job Overview:

As a Senior Contract Administrator, you will be responsible for preparing, administering, and coordinating contracts while serving as the primary liaison between DFW Business Units and Suppliers. This dynamic role involves interpreting and ensuring compliance with airport policies and applicable procurement laws, while improving communication between the Procurement and Materials Management department, DFW Business Units and Suppliers.
Your main responsibilities will include:
Technical Guidance and Support: Provide expert guidance, direction, and assistance to assigned DFW Board Departments. Advise Board staff and DFW Business Units on potential solicitation and contractual challenges and provide contract interpretation.
Contract Administration: Review and oversee the work performed by other Contract Administrators, ensuring accuracy and adherence to contracting and regulatory procedures. Conduct contract-related training for Contract Administrators, Board staff, contractors, and consultants. Take charge of all contracts within assigned departments, including funding, planning for replacement and renewal contracts, and transition plans. Conduct Procurement training as required.
Procurement Support: Offer advice, guidance, and support on procurement plans, contract solicitations, sourcing and specification development, bid/proposal evaluation process, contract development and administration, negotiation of terms and conditions, contract execution, writing Notice to Proceed, compliance with contract provisions, negotiating and writing change orders, and overseeing contract closeout.
Collaborative Consulting: Collaborate with assigned DFW Board Departments to clarify product and service needs, examining alternative procurement methods. Ensure compliance with commercial or business aspects of work, such as wage rates, bond requirements, and insurance requirements.
Documentation and Reporting: Write, coordinate, and proofread Official Board Actions for assigned DFW Board Departments, including coordinating and reviewing Business Disclosure Forms with the Legal Department. Lead monthly OBA Review meetings and obtain review and approval from AVP on OBA PMM required documentation.
Strategic Support: Provide professional-level consulting services to assigned DFW Business Units, supporting them in meeting their strategic initiatives through effective contract administration and procurement practices.
Presentations and Recommendations: Present findings and recommendations on procurement and materials management issues to Assistant Vice President, Procurement and Materials Management, Vice President, Procurement and Materials Management, and other DFW Board management as necessary.
In addition to the core responsibilities, you will also evaluate issues related to Procurement and Materials Management duties, act as a team leader or project manager for assigned projects, mentor and coach Contract Administrators and provide support for ad hoc projects within PMM and cross-functional teams.
To thrive in this role, you should possess a bachelor’s degree in business, supply chain management, public administration, or a related technical/engineering field. You should have at least five years of progressively responsible experience in administering contracts, including experience in negotiating new contracts and modifying existing ones. Knowledge of contract administration and procurement principles, practices, and procedures is essential, as well as the ability to use computer software for record-keeping purposes.
You must be able to represent the Procurement and Materials Management Department, the Administration and Diversity Division, and the DFW Airport Board in a professional manner, exhibit exceptional customer service skills, and maintain the integrity of the procurement process. Strong analytical and problem-solving skills, excellent communication abilities, and the capability to work independently or as part of a team are highly desired.
