Job Overview

As a Document Control Coordinator, you will ensure that all documents are accurately recorded, stored, and easily retrievable. You will also provide front desk security and reception duties for the Design, Code & Construction Building, support customers by using an online database to research strategic information for open records requests, and is cross-trained in other duties including, but not limited to, back-up payroll liaison and requisitions.  Under the general supervision of the Senior Associate, Controls & Analytics Records, a Controls & Analytics Records Coordinator plays a crucial role in managing and organizing an organization's documents and records. You'll have the opportunity to learn about every project that is happening within the airport!

What you will be doing:

  • Maintain, develop, and analyze an organized electronic document filing system/database.
  • Scan hardcopy documents to digital images using designated software and scanning equipment; perform quality control checks on images, correcting any deficiencies.
  • Upload and name images using the established naming scheme and maintains files in the digital filing systems.
  • Determine responsibility and electronic routing of documents to proper locations for additional processing using designated software.
  • Conduct research for special projects, assisting internal and external requestors of information while still protecting the privacy of information.
  • Assist internal and external stakeholders in the review and processing of contract closeout efforts for Capital Projects.
  • Conduct regular audits to ensure document accuracy and compliance with organizational standards.
  • Act as the receptionist to provide security for the Design, Code, and Construction Department by signing in and assisting visitors as they enter the building; assists in administrative detail of the work unit, including policy and procedure preparation, conference room scheduling, inventory, and control of supplies.
  • Provide support and guidance to the Document Control Team to ensure industry best practices in Document Management are being implemented within the airport.

What you need:

  • Completion of high school curriculum or equivalent.
  • Two (2) Years of responsible clerical experience.
  • Any equivalent combination of education and /or experience may be substituted for the above on a year-for-year basis.
  • Possession of a valid Class C driver's license.
