Job Description



Under the general direction of the AVP, Community Engagement , acts as liaison concerning Board activities and provides administrative support for the Airport Board of Directors.  Exercises initiative, independent judgment and discretion in screening calls, interacting with Board members and staff, and answering and disposing of written and oral requests for information.  This individual is expected to work with minimum supervision.


  1. Schedules, prepares agendas, attends and records minutes of Board, Committee, Public Facility Investment Corporation (PFIC), Facility Improvement Corporation (FIC) and Public Facility Development Corporation (PFDC) meetings.
  2. Supports the Official Board Actions/Resolutions process and related information, as necessary to ensure established deadlines are met.
  3. Oversees the records management of the Board agendas, Official Board Actions/Resolutions and related Board documents in conformance with state law.
  4. Acts as a point of contact between Board members, Board staff and the general public, including researching and responding to information requests.
  5. Acts as Secretary to Board members, performing administrative tasks related to the Board, including making travel arrangements and completing associated expense reports for Board members.
  6. Researches and prepares reports and correspondence for Board and Executive staff, as requested.
  7. Acts as registration agent for citizens wishing to address the Board at its meetings.
  8. Maintains custody of the Airport Seal.
  9. Attests legal, contractual and other Board instruments.
  10. Maintains historical data of Board members and Committee members.
  11. Provides training to other employees who may support Board Staff Secretary duties; ensures efficient workflow during the absence; creates and maintains a checklist of specific tasks; schedules refresher training sessions on a periodic basis.


  • Completion of high school curriculum or equivalent. 
  • Four (4) years of progressively responsible experience providing administrative support to various executive level staff.
  • Possession of a valid Class C driver’s license.


  • Knowledge of the principles and practices of public administration.
  • Knowledge of the protocol and communication techniques employed in an executive office.
  • Skill in typing at a speed of 60 words per minute.
  • Skill in composing correspondence and reports using proper grammar, construction and business vocabulary.
  • Skill in the use of word processing and spreadsheet software such as Word and Excel.
  • Ability to receive and process information of a sensitive or confidential nature with discretion, tact and diplomacy.
  • Ability to prepare a variety of records and reports and to maintain accurate documentation.
  • Ability to establish and maintain effective working relationships with Airport Board staff at all levels, Board members, city and administrative officials and the general public.
  • Ability to maintain effective and harmonious working relationships.
  • Highly organized.


  • Knowledge of established Airport Board policies, procedures and practices.
  • Skill in the use of Outlook.


  • Works in an office environment.
  • Uses keyboard devices and computer monitors.
  • Sits for extended periods of time.
  • Exchanges information by telephone, in writing and in person.
  • Uses reasoning in problem solving.
  • Drives to locations on Airport property.
